Best Employee Certification Tracking Software in 2026 (7 Compared)
The best certification tracking software depends on whose certifications you track and how you want people reminded. A safety manager with 40 forklift drivers and a few agency workers needs something different from a hospital group tracking nursing licenses in six states, or a consulting firm tracking AWS certifications next to skills.
This comparison covers seven employee certification tracking tools: CertLister, Expiration Reminder, CertTracker, Remindax, VAIRKKO, Certemy and MuchSkills. CertLister is our product, so we tried to say plainly where the others are stronger. We checked each competitor's own website on November 6, 2026, and we link the pages we used. Prices change, so confirm with the vendor before you buy.
CertLister bills in Canadian dollars. The others quote in dollars: CertTracker states US dollars, and the rest don't name a currency.
The Short Answer
- Staff and contractor certifications, with reminders to each holder and a flat monthly price: CertLister.
- Certifications plus insurance certificates, permits and contracts in one place, with text reminders and a phone app: Expiration Reminder.
- Trucking, construction, healthcare or food service, with templates and set-up help: CertTracker.
- A free start for a handful of certifications, with your own reminder sequences: Remindax.
- EMS, fire and public-safety agencies that also want scheduling from the same vendor: VAIRKKO.
- Licensed professionals in the US, with licenses checked against the issuing board: Certemy.
- Vendor certifications tracked next to skills, in a consulting or IT firm: MuchSkills.
- One site and a few dozen people: a spreadsheet may be enough. Our free certification tracker template is a good start.
The sections below explain each pick.
What to Look For
Every tool here stores certifications and expiry dates. The differences are in five places.
- Who gets the reminder, how and when. Some tools remind only the holder, some only an admin, some both. Check the channels (email, text, app) and whether you can set the days.
- People outside your HR system. Contractors and agency workers often hold the certifications an auditor asks about first. Check that you can track them without buying them a login.
- How certificates get in. An import from your spreadsheet, holders uploading their own renewed certificate, and someone approving it before it counts.
- Proof for an auditor or a client. An export filtered by site or status, the certificate files themselves, or a page a client can check.
- How the price grows. Per user, per employee tracked, per tracked item or a flat fee. A price that looks low for 20 people can look different for 400.
1. CertLister
Best for: HR, safety and compliance teams that track employee and contractor certifications, want each holder reminded before a date passes, and want a published price with no sales call. It also suits teams that run training in-house and issue their own certificates.
CertLister keeps one register of credentials, each with its issue and expiry date. A credential shows as active, expiring soon (within 30 days) or expired on its own, and CertLister's certification tracking software can email the holder before the date.
Pricing: Published, in Canadian dollars.
| Plan | Price | New credentials | Team members | Certification types |
|---|---|---|---|---|
| Free | CA$0/month | 10 a month | 1 | 3 |
| Basic | CA$19/month (CA$15/month annually) | 1,000 a month | 5 | 20 |
| Pro | CA$49/month (CA$39/month annually) | Unlimited | Unlimited | Unlimited |
Credit packs add credentials without a plan change, from CA$15 for 25.
Strengths:
- Reminder emails to each holder on up to five dates before expiry, on every plan, turned on for each certification type
- A Monday email for admins and managers listing everything that expires in the next 30 days
- Automations for a different reminder timing per certification type, or an email to admins when a credential expires: 1 on Free, 3 on Basic, unlimited on Pro
- Contractors and agency workers need no account. If you turn on the recipient portal, holders sign in with a one-time code sent to their email, see their own records, and upload the PDF of a certificate for you to approve
- Import up to 2,000 spreadsheet rows at a time, change the expiry dates of up to 500 credentials in one action, and export a filtered list as CSV for an auditor
- Each credential has a public verification page that a client or inspector can open without an account
- A renewal replaces the old credential and keeps its history
- It also issues credentials: design a certificate, send it as a PDF, and add a digital badge or printable wallet card
Limitations:
- Reminders go by email only. There is no text-message option and no phone app; it runs in the browser
- The free plan adds 10 credentials a month, for 3 certification types and one admin. Importing an existing register of a few hundred certifications needs Basic or a credit pack
- No ready-made HR system connector. The API and webhooks are on Pro
- Reminders from the organization's schedule are not listed in the app. Automation rules keep a run log
- It does not deliver or schedule training courses
- A smaller and newer company than most vendors here
Bottom line: CertLister fits teams that want reminders, contractor records and proof for auditors on a flat monthly price, and that may also issue certificates. If you need text-message reminders, a phone app or a ready HR system connector, look at the others first.
2. Expiration Reminder
Best for: teams that track certifications alongside other expiring documents, such as insurance certificates, permits, leases and contracts, and want text-message reminders and a phone app.
Expiration Reminder is a general expiry tracker. Certification tracking is one use among many: the same account tracks certificates of insurance, permits, contracts, warranties and software renewals. Its pricing page lists healthcare, construction, insurance, education, private security, manufacturing and government among its industries.
Pricing: Published, as a flat price per plan, set by how many items you track. An item is one expiring document, so one person with three certifications is three items.
| Plan | Monthly | Tracked items |
|---|---|---|
| Starter | $49 | 150 |
| Professional | $99 | 600 |
| Business | $179 | 1,500 |
| Enterprise | $399 | 2,500 |
Paying yearly saves 10%. Every plan has unlimited admin users. Larger organizations get custom pricing. There is a 14-day free trial with no credit card, and no free plan.
Strengths:
- Reminders by email, text message and WhatsApp
- A default reminder schedule for the account that you can change per document type or per item (help article)
- The holder gets a one-time link to update the date and upload the renewed file, without an account
- iOS and Android apps
- HR system connections it names include BambooHR, Paylocity, Workday, Paycor and Gusto, plus Zapier, Slack and Microsoft Teams
- Unlimited admin users on every plan
Limitations:
- The price follows the number of tracked items: 150 on Starter covers 50 people with three certifications each
- Managers are not notified automatically. Someone sets up a "watched" expiration for them (help article)
- Email escalation needs Professional, and the API needs Business or Enterprise
Bottom line: Expiration Reminder is the strongest pick here for an office that tracks insurance certificates, permits and contracts as well as certifications, and wants text reminders. If you only track certifications, price it by your item count.
3. CertTracker
Best for: employers in trucking, construction, healthcare, food service, hospitality and manufacturing that want a tool built only for employee certifications, with set-up help.
CertTracker tracks employee certifications and training against templates for each industry, such as DOT and OSHA requirements. (Several unrelated products share the name; this is the one at getcerttracker.com.)
Pricing: Published, in US dollars, by number of employees.
| Plan | Monthly | Employees |
|---|---|---|
| Starter | $49 | Up to 50 |
| Pro | $99 | Up to 200 |
| Business | $149 | Unlimited |
| Fleet | $299 | Unlimited |
Paying yearly saves two months. There is a 14-day free trial for up to 50 employees with no credit card, a 30-day money-back guarantee, and a free import of your existing spreadsheet by their team. No free plan.
Strengths:
- Industry templates for the certifications each role needs, and a compliance matrix of every employee against every requirement
- Reminders at 90, 60, 30, 7 and 1 day before expiry, by email on every plan
- An AI scanner that fills in a record from a photo of the certificate
- An "Audit Defense Package" that gathers the evidence for an audit (Pro and above)
- Reports as PDF, and as CSV from Pro
Limitations:
- Text-message reminders and the employee self-upload portal need Pro ($99) or above
- The reminder days are set; the site doesn't say you can change them
- No integrations or API listed
Bottom line: CertTracker fits a trucking, construction or healthcare employer that wants templates for its industry and help getting started. Teams outside those industries, or that need an HR system connection, should check the others.
4. Remindax
Best for: small teams that want to start free and build their own reminder sequences, by email, text or WhatsApp, for certifications and other renewals.
Remindax is a general expiry-reminder tool for contracts, certifications, licenses, insurance, warranties and subscriptions. It has a page for certification tracking.
Pricing: Published, by tracked items, contacts and users.
| Plan | Monthly (yearly) | Tracked items | Contacts | Users |
|---|---|---|---|---|
| Free Forever | $0 | 15 | 3 | 1 |
| Basic | $29 ($23) | 200 | 50 | 1 |
| Professional | $79 ($63) | 700 | 100 | 2 |
| Business | $149 ($119) | 1,500 | 200 | 5 |
| Premium | $299 ($239) | 3,000 | 400 | 10 |
Email reminders are unlimited. Text and WhatsApp messages use monthly credits (100 on Basic).
Strengths:
- A free plan, for up to 15 items
- Reminder sequences with any number of steps before or after the date, by email, text, WhatsApp or app notification
- Each reminder can go to the holder, their manager and the compliance team, each on their own channel
- Recipients can reply and attach the renewed document
- Exports to Excel and PDF, and an activity report for an audit trail
- iOS and Android apps, a Chrome extension, and connections to Google Calendar, Outlook Calendar, Trello, Asana and Zapier
Limitations:
- Contacts are capped per plan: 50 on Basic, so a team of 60 needs Professional
- One user on Basic
- We found no holder login; renewals come back by email reply
Bottom line: Remindax is a good fit for a small team that wants flexible reminders at a low price and tracks other renewals too. A team that wants holders to sign in and keep their own records will want a dedicated tracker.
5. VAIRKKO
Best for: EMS, fire and public-safety agencies, and other organizations that want certification tracking alongside scheduling, HR and training modules from one vendor.
VAIRKKO sells a set of cloud products that you buy one at a time. Its Certification Cloud tracks certifications and their expiry dates, checks each person against the certifications their job function requires, and alerts people before a certification expires. The product page names healthcare, construction, renewables and technology, and the home page leads with EMS scheduling.
Pricing: Not published. VAIRKKO's FAQ says the price depends on the number of people and the products you choose, on a month-to-month or annual contract. Its sign-up page offers a 14-day free trial with no credit card.
Strengths:
- Expiry alerts by email and text message
- Electronic documents uploaded with each certification record
- Free iOS and Android apps for staff while the organization subscribes
- Compliance rules by job function, so you can see who is missing a required certification
- QR codes on certification records, so a supervisor or auditor can view them in the field without logging in
- Other modules from the same vendor: scheduling, HR, onboarding, classroom training and fleet
Limitations:
- No published price; you request a quote
- The integrations it lists are mostly public-safety tools (for example Schedule2.IT, First Arriving and Logis CAD) plus Google and Outlook calendars, not mainstream HR systems
- Its site doesn't say how the reminder schedule is set
Bottom line: VAIRKKO makes the most sense for an agency that also wants its scheduling and training records from the same vendor, and whose staff will use a phone app.
6. Certemy
Best for: US healthcare employers, multi-state operators and field-service companies that track professional licenses and want them checked against the issuing boards.
Certemy tracks licenses, certifications and training for staff, and also equipment and facilities. Its primary source verification checks credentials "directly from governing boards" and keeps time-stamped screenshots of each check.
Pricing: Published, per user per month, though each plan's button says "Contact Us".
- Standard Track: $3.00 per user per month, or $2.40 billed yearly
- Enterprise Track & Manage: $6.00, or $4.80 billed yearly
- Primary source verification: $1.00 per check, or $0.80 billed yearly
No free plan or trial is listed.
Strengths:
- Licenses verified with the issuing boards across many professions and all US states, on a schedule you set
- Automated notifications to administrators and to the people being tracked
- Workflows for license applications and renewals, with document uploads (Enterprise plan)
- Storage for each person's own documents
- Dashboards, calendar and map views, and export to Excel
- HR system connectors (Workday, SAP SuccessFactors, BambooHR, Paycor), single sign-on and documented APIs
Limitations:
- Priced per user, with verification billed per check on top
- Workflows need the Enterprise plan
- Built around US occupational licenses. A team tracking safety tickets and training certificates uses a small part of it
Bottom line: Certemy is the strongest fit here for licensed professionals in the US, especially where a license must be confirmed with the board that issued it. Outside licensing, the others are simpler.
7. MuchSkills
Best for: consulting firms, IT partners and tech teams that track vendor certifications (AWS, PMP, CISSP and similar) alongside employees' skills.
MuchSkills is a skills-management platform. Certification tracking is one part of it: employees add their certificates, managers validate them, and the platform tracks expiry dates.
Pricing: Not published. The pricing page describes "an annual platform fee and one simple price per user", billed yearly. A separate Compliance plan is an organization license priced on the number of people whose certificates you track. Plans run from Starter (up to 100 people) to Enterprise. No free plan or trial is listed; MuchSkills offers a scoped pilot on your own data.
Strengths:
- Reminders to the holder 90, 60 and 30 days before expiry and on the day
- Employees add their own certificates and proof, up to 10 files or links per certificate, and managers validate them
- Filter by role, vendor and expiry window and export to CSV, or download every certificate and proof file for selected people
- More than 30 HR system connectors, including Workday, SAP SuccessFactors, Personio, HiBob and BambooHR, plus single sign-on and an API on every plan
- A Credly connection, for organizations with a Credly Workforce license
Limitations:
- No published price, a yearly contract and a sales-led start
- Reminders go only to the holder; managers see status in their team view and in reports
- Built for skills mapping first. A safety or compliance team that only needs expiry tracking pays for more than it uses
Bottom line: MuchSkills fits firms whose certifications are part of a skills picture, such as consultancies that staff projects by certification. For forklift, first-aid or other safety certifications, it is more than most teams need.
Do You Need Software at All?
Two things most teams already have can track certifications. Both are worth trying before you buy.
A spreadsheet
A spreadsheet costs nothing and works for one site with a few dozen people. It stops working when nobody opens it: it sends no reminders, and it is only as current as the last person who updated it. If you start with one, start with a layout that does the date arithmetic for you. Our free certification tracker template for Excel and Google Sheets lists who holds what, turns amber as an expiry date gets close and red once it has passed, and builds a training matrix of people against certifications. Its list imports into CertLister if you outgrow it.
Your HR system
Many HR systems (HRIS or HCM) have a certification field and can report on expiry dates for the employees in them. They often fall short on agency workers and contractors, on certificates earned outside the company, on reminders with enough notice, and on proof an auditor can check. Our guide Can Your HR System Track Employee Certifications? lists six questions to ask yours before you add another tool.
A learning management system
If you need to deliver and schedule the training itself, start with a learning management system (LMS). Most track the certificates earned in their own courses. They are a weaker fit for certificates people earn elsewhere, such as a first-aid card from an outside provider.
